Conference Format, Location & Hotel

Q: Where will the conference be held?

A: The conference will be held at the Hamilton Convention Centre by Carmen’s in Hamilton, ON.

Q: Will the conference be held virtually?

A: No, the OAVT 2025 Conference will only be held in-person.

Q: What hotel is available for the conference?

A: The host hotel is the Sheraton Hamilton. Please be aware that the hotel only offers a preferred rate for a minimum of two (2) nights stay. After registering for the conference, each attendee will receive a confirmation email. The registration confirmation email includes a link to the hotel’s online booking system.

The hotel booking link is not posted on the website in an effort to ensure the event is not easily targeted by scams.

Travelling to Hamilton

John C Munro Hamilton International Airport: Hamilton’s hassle free airport is only 15 minutes from downtown and now boasts lots of new direct, low cost flights from across the country and beyond. Check out Airways Transit, Hamilton Limo or on site car rentals.
Also nearby, within a short driving distance, are Toronto Pearson Airport and Billy Bishop Toronto City Airport.

Hamilton is ideally located on major highways- an hour’s drive from Toronto, Niagara Falls, London and Guelph, Kitchener, Waterloo.

Go Transit offers frequent service to the city from across the region (and stops right outside the Convention Centre), including new all-day train service into West Harbour GO Station from downtown Toronto’s Union Station. Coach Canada has regular service into Hamilton as well as first-class charters.


VIA Rail is offering conference attendees a 10% discount for travel between February 27 to March 4, 2024.

The rate is available from all stations throughout the VIA systems to/from Toronto, Oakville or Aldershot Ontario.

Restrictions: The fare applies to a maximum of two passengers per booking.

Discount: 10% off the best available fare in Economy, Economy Plus, Business, Business Plus, and Sleeper Class. All purchases are subject to the conditions and restrictions of the fare plan to which the additional discount is being applied.

Exception: Discount does not apply in any Escape fare and Prestige Class.

Q: How can I register to attend the conference?

Q: What are the fees to attend the conference?

Q: What is included in my registration fees?

A: All Full Conference passes include:

  • Admission to all continuing education lectures
  • Admission to Trade Show
  • Admission to the Conference Kick-off on Thursday, February 28, 2025
  • Delegate giveaway (distributed upon check-in)

Q: Is there a student rate?

A: Yes, there are student rates for both OAVT members and non-members. For more information, please visit the Pricing Page.

Q: If I cannot attend, can a colleague attend in my place?

A: Yes, to transfer your registration, please contact All registration changes must be completed by 5:00PM EST on Wednesday, January 31, 2024.

Q: What is the cancellation policy?

A: A Cancellation Fee of $75 applies to all cancellations. Cancellations can be processed online by the registrant until 5:00PM EST on Monday, January 27, 2025. Cancellation Requests made after 5:00PM EST on Monday, January 27, 2025 will not be refunded. Cancellation Requests can be processed through the online portal or can be made in writing to

CE Credits (OAVT Members)

Q: How many CE credits will OAVT members receive for the conference?

A: OAVT members will receive 1 CE credit for each session they attend. A delegate must have their conference badge scanned upon entry into the session in order for their attendance to be recorded.

Q: Is there a maximum number of CE credits that can be earned?

A: Per the OAVT’s CE Policy, members can earn a maximum of 5 credits per day. YOU are responsible for recording your credits in your CE record. This includes exhibitor staff who attend Sessions.

Q: Will CE credits be automatically applied to my OAVT account?

A: No, each member is responsible for reporting their own CE credits. This includes exhibitor staff who attend sessions.

CE Credits (General)

Q: Is the OAVT Conference RACE accredited?

A: The OAVT Conference is not RACE accredited but follows RACE guidelines.

Q: How many CE credits can I earn for the conference?

A: There are 5 CE session hours available each day of the conference.

Q: How do I receive my CE credits?

A: In order for attendance of a session to be recorded, attendees must ensure their badge is scanned when they enter each session.

Q: Do I need to select my sessions in advance?

A: Those registered for the event will be able to create a personalized agenda in January, however this does not guarantee a seat for you in the Session. This is an “expression of interest” ONLY. Session pre-registration is only required for hands-on labs and workshops with limited space which are selected during the registration process.

Get Involved

Q: Can I volunteer for the conference?

A: Yes, the OAVT invites all members interested in attending the conference to support the event as Session Moderators or booth volunteers. 

Q: How can I become a presenter?

A: All of our speakers have been selected for the conference. If you are interested in speaking in the future, sign up to receive OAVT emails
